Data, purpose, retention period

The main types of data collected and managed by Sales Line Srl and the purposes related to them are shown below:

1. Data of the contact person of the client company: as part of the activity envisaged by the contract, the owner needs to collect the contact details of the contact person of the client company to guarantee maximum efficiency in the service provision. These data are entered into the Microsoft Dynamics 365 Sales management system and are used for numerous purposes, all attributable to the contractual obligations and the services offered therein. The contact data will be kept for the entire duration of the existing contract. They will be retained for any subsequent communications connected to the services provided unless the interested party explicitly requests cancellation.
2. Images, photos, and videos attributable to the contact person of the client company: as part of its activity, Sales Line is very active in preparing material to promote and consolidate its image on all its communication channels. In this regard, customers may be asked to provide specific references through comments, photos, and interviews. Every time material is collected, the appropriate release for its use and publication is also submitted. The authorization to use and publish such material is voluntary and does not compromise the quality of the service provided by the Owner. The cancellation of such material is not foreseen unless the interested party expressly requests it, aware that in this case, the published material will be promptly removed, but any copies or reproductions made by third parties are not under the control of the Owner.
3. Data relating to candidates: Sales Line is active in the recruiting and headhunting sector, and these areas collect and store personal data, CVs, and contact information pertaining to candidates, which are made available directly by the interested party and whose provision is necessary for the correct execution of the selection. These data are used exclusively in the context of the selection activity, and failure to provide them would make it impossible to complete the recruiting activity. The information relating to the selected candidates will be shared with the companies that have entrusted Sales Line with the research project and possibly with duly appointed consultants who support the Data Controller in his activity. The data collected in this way will be kept for a period of 12 months and subsequently eliminated from the archives of the Data Controller unless the interested party requests its cancellation at an earlier stage.
4. Self-recorded videos by candidates or videos recorded during the interview:as part of the selection process, the candidate may be asked to record a video that will become part of the application evaluation material and which will be shared with the client company who put Sales Line in charge of the research process. The creation of this video is optional, and its failure to provide it does not preclude the correct execution of the selection process. The forwarding of the video by the interested party simultaneously implies the consent of the same to its use and sharing, as per the information reported here. The material thus collected will be kept for 12 months and subsequently eliminated from the archives of the Data Controller unless the interested party requests its cancellation at an earlier stage.

Recipients and shipping abroad

All data communicated in the context of a commercial agreement are used exclusively within Sales Line or possibly shared with external subjects exclusively for accounting and tax matters or technical support (in particular legal services, IT services) and corporate control.

It is emphasized that the information relating to the candidates will be shared with the companies that have entrusted Sales Line with the research project under a specific contract and possibly with consultants, duly appointed, who support the Data Controller in its activity.

There is no transfer of data abroad.

Rights of the interested party

We remind you that according to Chapter IIII of the GDPR Regulation 679/2016, the interested party has the right to:

• Request access to personal data and request its rectification, cancellation, or limitation of processing.
• Know the purposes of the processing, the categories of data processed, the recipients to whom the data are communicated, and the retention period.
• Revoke consent at any time, remembering the consequences of this choice.
• Request the cancellation (when possible) of data that are no longer necessary for the purpose for which they were collected.
• Object to profiling or direct marketing processing.
• File a complaint with the Italian Data Protection Authority.
• Request data portability.
• Know the subjects to whom the personal data may be communicated and check the extract of the existing contracts with these subjects.

Any requests should be addressed to your contact person in the company or to the contact details indicated in this disclosure so that the Data Controller can provide all the necessary clarifications and intervene in all cases in which the request is legitimate.
